Ariba Introductory Guides

  • LANL now issues solicitations, purchase orders, invoices, and payments digitally through the Ariba Network to streamline transactions with our suppliers. 
  • If your company has an existing Ariba Network (ANID) account, you will still need to register your Ariba account with LANL by completing an invite to register with LANL.  If your company does not have an ANID account, you will be given the option to create an ANID account once you receive the Ariba invitation link from LANL to register.  
  • LANL recommends suppliers use an Ariba Standard account, which is free and provides all the tools needed to transact with LANL. Ariba Enterprise accounts are fee-based and not required by LANL. Suppliers currently using an Enterprise account are encouraged to downgrade to a free Standard account to avoid annual subscription and transaction fees. Please note that LANL cannot negotiate with SAP Ariba on behalf of suppliers, as Enterprise account agreements are strictly between your company and SAP Ariba. 

SAP Ariba Network

  • Ariba Network (ANID) accounts can be accessed by more than one user. The account administrator role manages additional users and assigns permissions for access to LANL solicitations, PO awards, invoicing and payment status.
    • The person setting up a new ANID account is the account administrator by default; this role can be transferred as needed.
    • The supply administrator role is assigned to one person only. This role must be delegated for the account to remain accessible when the primary administrator is out of the office for an extended period. Read instructions (Ariba FAQ) on how to change administrators. LANL relies on our suppliers to maintain their ANID account and keep user contacts up to date.
  • Out-of-date contact information may cause solicitations and PO awards to be sent to outdated contacts.
    • Changes made to ANID account users and roles will automatically sync with LANL’s supplier contacts. Request manual updates to LANL’s supplier contacts at aribasuppliers@lanl.gov.
  • LANL sends out annual registration update reminders. Please use this opportunity to update any changes to your company’s registration profile, such as DBA name, address, UEI, small business classification, etc.
  • Information provided to SAP Ariba when establishing a supplier account on the Ariba Network is governed by Ariba Network Terms of Use and SAP Privacy Statement. When a supplier creates an Ariba Network account, it forms a direct agreement between the supplier and SAP Ariba.
    • Data entered directly into LANL’s Ariba system (for example, in connection with LANL contracts or transactions) is governed by the LANL contract, which requires that all data be stored on secured servers located in the United States.
    • Because Ariba is a cloud-based platform, LANL does not store or retain supplier data within the Ariba system. Information provided during account setup on the Ariba Network—such as basic company details and offered services—is managed and stored according to Ariba’s terms.
