LANL ASM Prospective Supplier Overview

Thank you for your interest in becoming a supplier with Los Alamos National Laboratory. The partnership we have with our suppliers continues to support LANL's mission to solve national security challenges through scientific excellence by developing and applying science and technology solutions to ensure the safety, security and energy challenges.

We develop and maintain strategic supplier relationships that bring long term value to internal and external customers. Our ASM-Supplier Management group is here to answer any questions, if you can’t find the information you need in our resources page, please contact aribasuppliers@lanl.gov.

Becoming a Supplier

All suppliers are required to register with Ariba. Without an Ariba account, suppliers will not be able to receive modifications or specific documents associated with their purchase orders/subcontracts. Please contact your Procurement Officer as soon as possible to complete your registration.

By completing this form, you will provide us with information about your organization and what you supply. This information will be held on file and may be used to assess your suitability to be considered to provide goods or services to us. This does not constitute a pre-qualification status. Please note LANL is unable to review and process your company as a supplier until the registration and subsequent questionnaire are completed.

Required Registration Information

The following information is required during the complete of the Ariba supplier registration questionnaire.

  • Unique Entity ID (UEI)
  • Tax ID Numbers
  • NAICS Codes (top 3 preferred)
  • Company Name
  • Street Address, City, State, Zip Code
  • Contact Names
  • Phone numbers
  • Email addresses
  • Insurance
  • Capability Statement
  • Additional information

*Beginning April 4, 2022, the Unique Entity ID from SAM.gov is the authoritative identifier for those doing business with the federal government. The DUNS Number is no longer valid for federal award identification. For more information on the DUNS to UEI transition, please view the FAQ sheet on SAM.gov

Ariba Introduction

LANL utilizes the Ariba Network when conducting business with suppliers. The Ariba Network offers one portal for LANL to collaborate effectively with suppliers throughout the entire source-to-pay process (sourcing events, contracts, purchase orders, invoices, and payments). As mentioned in the above Procurement Opportunities section, Ariba Discovery is used to post planned and open procurement opportunities at LANL.

Benefits of the Ariba Network

Below are some benefits your company will experience with the Ariba Network:

  • More efficient and accurate purchase order and invoice processes, that are completely electronic
  • Easy and secure administration of information, including a searchable document archive
  • Increased visibility and transparency in procurement transactions
  • Save time and money by eliminating paper and manual processing
  • Access to status of all LANL business transactions 24x7

Types of Accounts

LANL will invite most suppliers to register on the Ariba Network with a Standard Account. Once your company has registered with LANL on the Ariba Network, the first interactive purchase order sent by LANL to your company in Ariba will establish your trading relationship with LANL. Once the trading relationship has been established, you can view the purchase order and submit electronic invoices online in Ariba.

There are no fees associated with establishing an Ariba Network Standard Account. If you onboard with a Standard Account in the Ariba Network, you will have the option to upgrade to an Enterprise Account later if you choose.

Capabilities of Standard Accounts

Some of the key features of standard accounts include the following:

  • Access your standard account using emails and notifications; retain email communication to respond to purchase orders and notifications, and for archiving
  • Transact documents such as orders and order confirmations; convert purchase orders into electronic invoices; create non-PO invoices and credit memos
  • Access to Ariba Support via online help center
  • Create user accounts with permissions for different roles in your company
  • Free - no fee

For those suppliers that LANL believes may need an Enterprise Account, LANL will send you a Project Notification Letter (PNL) with instructions for onboarding onto the Ariba Network. Shortly thereafter, you will receive a Trading Relationship Request (TRR) from Ariba. Click the “Accept your customer’s Trading Relationship Request” to begin the onboarding process.

There may be fees associated with establishing an Ariba Network Enterprise Account. However, there are no fees at this time for Ariba Network Enterprise Accounts for LANL's small business catalog vendors or for our staff augmentation vendors transacting in Fieldglass.

Capabilities of Enterprise Accounts

Some of the key features of an Enterprise Account include the following: Receive and manage orders and invoices from multiple customers in one online dashboard, including past orders and invoices.

  • Create and export reports; archiving capabilities
  • Access to Ariba Support via phone, chat, or email; access to online training courses
  • Publish catalogs which, detail your products and services to improve order accuracy
