LANL started working with suppliers to transition to the Ariba Network beginning in the summer of 2020.

How Onboarding Works

Existing Suppliers

LANL is actively onboarding suppliers in Ariba. Existing LANL suppliers will receive important communications and instructions from LANL and Ariba for registering in the Ariba Network and connecting to LANL. We appreciate suppliers' prompt action on all communications and requests regarding this initiative. Continue to use the current procurement system until you receive a communication.

Onboarding Steps:

  1. Receive Project Notification Letter – All LANL suppliers will receive a Project Notification Letter with instructions for joining the Ariba Network and an invitation to a Supplier Summit.
  2. Attend a Supplier Summit – This is a web-based event to explain the transition to Ariba and what it means for suppliers, featuring a live Q&A with experts from LANL and Ariba.
  3. Register in the Ariba – Suppliers need to complete the supplier registration in the LANL Supplier Lifecycle and Performance module. Click here to request the invite to register with LANL.
    *Only register one time per company, even if you have more than one location.
  4. Account Activation – Suppliers create an Ariba Network Account. Then, for Enterprise Accounts, suppliers accept the Trading Relationship Request (TRR) received via email. For Standard Accounts, suppliers process an order from the initial Interactive Purchase Order (PO) received via email (standard accounts) to activate the Ariba Network account with LANL. (Note: PO’s will be received after system Go-Live.)
  5. Configure Ariba Network accounts.
  6. Start selling products and services on Ariba!

New suppliers

New suppliers wanting to do business with LANL should follow the instructions here to create Ariba Network account and request an invite to register with LANL. In the future, this will be necessary to respond to a LANL solicitation.

Enterprise Account

For those suppliers that LANL believes may need an Enterprise Account, LANL will send you a Project Notification Letter (PNL) with instructions for onboarding onto the Ariba Network. Shortly thereafter, you will receive a Trading Relationship Request (TRR) from Ariba. Click the “Accept your customer’s Trading Relationship Request” to begin the onboarding process.

LANL Enterprise account PNL

There may be fees associated with establishing an Ariba Network Enterprise Account. However, there are no fees at this time for Ariba Network Enterprise Accounts for LANL's small business catalog vendors or for our staff augmentation vendors transacting in Fieldglass.

Capabilities of Enterprise Accounts

Some of the key features of an Enterprise Account include the following: Receive and manage orders and invoices from multiple customers in one online dashboard, including past orders and invoices.

  • Create and export reports; archiving capabilities
  • Access to Ariba Support via phone, chat, or email; access to online training courses
  • Publish catalogs which, detail your products and services to improve order accuracy
Standard Account

LANL will invite most suppliers to register on the Ariba Network with a Standard Account. The first interactive purchase order sent by LANL to your company in Ariba will include instructions to register on the Ariba Network (if your company hasn’t already completed this). Once you've registered, you can view the purchase order and submit electronic invoices online in Ariba.

LANL Standard Account PNL

There are no fees associated with establishing an Ariba Network Standard Account. If you onboard with a Standard Account in the Ariba Network, you will have the option to upgrade to an Enterprise Account later if you choose.

When buyers and suppliers are engaged in a low level of order and invoice transaction activity, the standard account (formerly called "light" account) from Ariba is a free and easy way to collaborate over Ariba Network.

Capabilities of Standard Accounts

Some of the key features of standard accounts include the following:

  • Access your standard account using emails and notifications; retain email communication to respond to purchase orders and notifications, and for archiving
  • Transact documents such as orders and order confirmations; convert purchase orders into electronic invoices; create non-PO invoices and credit memos
  • Access to Ariba Support via online help center
  • Create user accounts with permissions for different roles in your company
  • Free - no fee
