Diversity working group logo contest deadline is Friday

The Hispanic Diversity Working Group is sponsoring a logo contest. University of California Laboratory employees, subcontract personnel and students can enter the contest. Logos can be hand drawn or created electronically. The logo must be easily reproduced in color and black and white. Multiple entries will be accepted. Logos can be submitted to hdwg@lanl.gov by electronic mail or mailed to Angela Martinez of the Education Programs Office (STB-EPO) at Mail Stop M700. The working group will accept submissions until Friday.

Balls and Bands for Exercise -- the Wellness Center will offer a new four week class from Sept. 3 - 26 using these popular tools for an effective workout. Information on local elections of interest

As a public service to Laboratory workers, the Bulletin Board section of the Daily Newsbulletin will periodically publish information on local and statewide elections of interest. Such elections include general and primary elections for local and statewide offices, local school board and bond elections as well as information on local community college board and bond elections in Northern New Mexico.

The Northern New Mexico region includes Los Alamos, Santa Fe, Espanola, Taos, Pojoaque and other nearby communities. Information on these elections will be obtained and verified for accuracy from local county clerks offices and the Secretary of State's Office where applicable.

Registered voters in Los Alamos are currently voting by mail-in ballot on a school bond election. The deadline to return mailed ballots is 7 p.m., Thursday, Aug. 29.

Administrative Manual policy AM 322.18 to 322.20 details the voting time policy in place for Laboratory workers. Generally speaking, the Laboratory allows eligible employees time off to vote at the polls in certain elections.

PubMed now searchable on the Library's FlashPoint search engine

PubMed (with links to Library-provided full-text journal articles) is now searchable via FlashPoint. For those that search for articles in SciSearch at LANL - and then search PubMed separately, you can now save time and search them both at once. FlashPoint, the Library's multi-databases search tool, allows you to search several databases at once. PubMed is the latest addition to the selection of databases available for cross-searching.

Personnel at Lab next week to assist in filing claims under 2001 energy illness act

Representatives from the Energy Employees Occupational Illness Compensation Resource Center will be at the Laboratory from 10 a.m. to 2 p.m., Aug. 28 in the lobby of the Otowi Building Cafeteria at Technical Area 3 to answer questions about eligibility for the program and assist present and former workers in filing claims.

The federal Department of Labor and DOE last year opened a Resource Center in Española to assist workers, former workers or their survivors who believe they may be eligible for compensation under the program. The office is located at 412 Paseo De Oñate, Suite "D" in Española. Office hours are weekdays from 8:30 a.m. to 5 p.m. To contact the Espanola office, call (505) 747-6766, toll free at 1-866-272-3622 or by fax at (505) 747-6765.

A second office in White Rock on NM 4 (behind Metzger’s) is open from 9 a.m. to 4 p.m., Monday through Friday. Laboratory employees or retirees also may call 7-5839 or 7-5830.

Española tae kwan do class for youths offered through Los Alamos Family YMCA

The Los Alamos Family YMCA, a Laboratory-sanctioned organization, is offering a tae kwan do class for youths age 8 and younger. The class will be taught at the Lucero Center, 404 Paseo de Oñate in Española. The class meets from 5:30 to 7 p.m. Monday and Wednesday.

Direct orders for photocopies of journal articles

Beginning Aug. 1, Laboratory staff are responsible for ordering articles from journals that the Research Library (STB-RL) does not own. Laboratory employees with a Lab purchase card can create an account with many organizations that can provide photocopies faster and cheaper that using the library order system.

When placing an order, merely select the delivery option and turnaround time that is most convenient for you. Using the purchase card will save time and money in the order/recharge process. The Research Library has created a Web page with suggestions for organizations that provide document delivery services. The Web page is at http://lib-www.lanl.gov/libinfo/extphotocopies.htm online.

Next Leadership Institute is Oct. 20-27

Nominations being accepted

Applications are now being accepted for the Oct. 20-27 Leadership Institute. The institute features a series of learning experiences focused on the "being" aspects of organizational work, according to Harry Thomas of Training and Development (HR-6). It is structured for managers who want to improve their personal effectiveness as leaders.

Moratorium on shadow files lifted

Information and Records Management (IM-5) reports that the Laboratory's Legal Office has lifted the moratorium on so-called "shadow files." Shadow files are group or office copies of employee files kept for the convenience of the supervisor. There was a moratorium in effect on the destruction of these files since 1995, that is, these files could not be destroyed. Effective immediately, however, these files can be disposed through the normal record disposition process. The disposition on shadow files is "cut off at termination or transfer of employee and shred one year after cutoff."

To correctly dispose of shadow files, fax a Certificate of Records Destruction (Form 1704) found on the IM-5 Research team Web site to the Records Center at 5-5543. For further guidance, contact Roger Meade at records@lanl.gov by electronic mail.

Checkout procedure for students leaving the Lab

University of California employees planning to leave the Laboratory must go through the proper exiting procedure. Students must complete a casual or terminating checkout form that is found at http://www.hr.lanl.gov/hrstaffing/Terminations/index.stm online. Students who have questions regarding their status should contact their Human Resources (HR) Division generalist or group administrator.

Fiscal year 2002 cut-off approaching for interior furnishings
Design services, furniture and delivery/installation

Many organizations wait until late in the year before committing funds toward office furniture and refurbishment. However, if you want fiscal year 2002 costing, then the procurement and/or projects must be completed and invoiced by Sept. 25. This means that time is of the essence if you intend to bill these services this fiscal year.

To assist you in your FY 2002 budget planning, any interior furnishing Interior Planning Service Requests (IPSRs) that are received before July 15 will be worked diligently to help ensure completion and billing. However, the closer we come to this date, the higher the level of uncertainty.

Training and Development (HR-TD) offers new classes

HR-TD is offering two new classes to present helpful behavior-based interviewing and retention techniques. "Behavior Interviewing for Employees" helps employees learn how to profile their skills based on career experience and enhances successful matching of potential employees with job requirements. Participants learn how to assess and communicate their skills in a positive, organized manner and how to develop skill-based career goals. The training is highly interactive with participant exercises, video reviews and class discussion.

The five-hour "Behavior Interviewing for Employees" course is free and will be held on Sept. 25. To enroll, go to the Virtual Training Center from the Laboratory's home page by choosing Training/Learning in the lower left-hand corner. Then, select Workforce Development and then Career Builders.

For managers and supervisors who want to interview for behaviors as well as technical skills and retain their employees, HR-TD is offering two workforce issues classes, "Talent Selection" and "Love 'em Or Lose 'em." The classes are open to anyone who supervises the work of others.

This two-day class is offered on Sept. 10-11 and Oct. 9 and 10. The price for the combined classes is $600; however, one may take either class as a standalone option for just $300.

Dani Fake of B.T. Novations teaches "Talent Selection," the first day of the course. The class focuses on the belief that it is easier for supervisors to identify technical excellence in potential job candidates than it is to quantify and identify excellence in the non-technical behaviors and characteristics necessary to ensure overall high performance. Managers and supervisors are coached to recognize and quantify traits within a behavior-based interview.

Mindy Zaslov of Vengel-Lash Association is the instructor for "Love' Em or Lose 'Em," which provides supervisors with retention strategies they can implement. Supervisors participate in self-assessment and group activities to understand how their actions influence their employees' decisions to stay or leave. In the workshop, supervisors formulate strategies for retaining their key people and develop an action plan to implement their strategies.

Employees leaving Lab must attend termination presentation

Employees who are leaving the Laboratory or changing to casual status must attend a benefits termination presentation held by Compensation and Benefits (HR-1).

The termination presentations are held every Laboratory pay day for University of California Lab employees. Employees who are retiring aren't required to attend a presentation, but rather, they should schedule a meeting with their designated benefits specialist.

The presentations begin at 8:30 a.m. in room P280 on the second floor of the Otowi Building at Technical Area 3. Pre-registration is required. Employees should register on line at http://www.lanl.gov/internal/training/training.html one to two weeks prior to their last scheduled work day to sign up for a benefits termination presentation.

Employees also must obtain a departure processing form from HR-Staffing (HR-5) before the presentation. This form is available at http://www.hr.lanl.gov/hrstaffing/Terminations/index.stm online.

At the presentation, employees will receive a packet of information about their benefits and savings balances. They will learn about options to continue or convert insurance plans and distribution options for savings funds.

Employees who require a sign language interpreter should write to benefits@lanl.gov by e-mail three days in advance of the presentation they plan to attend. Or call the benefits office at 5-3842 (TDD).

Because of limited parking, employees should plan to arrive early and/or make alternative transportation arrangements, such as using Johnson Controls Northern New Mexico's ride service.
