Vendor Registration

Need help getting your exhibit materials to, from BIW10?

La Fonda hotel does not have in-house capabilities for freighting, storing, or delivering your exhibit and presentation materials. La Fonda recommends vendors contact Convention Services
of the Southwest
for assistance with receiving, storing, and/or delivering freighted or shipped items to the hotel before the workshop and with the shipping afterwards.

Vendor registration is now closed.

Vendor contribution fee: $650
This fee will allocate the following provisions to one representative from your company:

  • Two chairs
  • One skirted table, dimensions 72"x30"
  • Venue Wi-Fi access
  • AC power access

The registration fee includes all workshop activities, including a combined working lunch and Q&A session on Tuesday, May 4. Additional representative registration (non-presenting): $200 per additional representative.

Banquet tickets
Banquet tickets may be purchased separately by attendees and companions for $36 each.

The deadline for submitting applications for the LANL tour of the Los Alamos Neutron Science Center (LANSCE) was February 19, 2010. (Because of the time it requires to process the paperwork through security, no additional applications are being accepted.) The tour fee of $60 per person must be paid with workshop registration fees.

Vendor Technical Oral Presentation: This is an opportunity for your representative to give a 20-minute presentation.1 Limit is two (2) presentations, reserved for first two requesters.

Vendor Reception: There are two (2) vendor receptions that can occur in the South Ballroom or another La Fonda room not being used by the BIW10. These opportunities are on a first-come, first-served basis.2

Contributed Paper Registration: $400 per additional representative. This is a standard participant reservation and an opportunity for your representative to give a technical contributed oral or poster paper.3

Program Advertisement: the $300 fee allocates one full 5"x9"page of space within the BIW10 program for your company's advertisements.

Food and Beverage Sponsorship Opportunities: Several BIW10 vendor-funded activities are available. Any sponsorship amount your company purchases will provide your company a placard with your company's logo on the serving table and an ad in the program, sized by amount of sponsorship.4 All sponsorships are allocated on a first-requested, first-reserved basis:

  • Sponsorship of food costs for registration reception
  • Sponsorship of beverage costs for registration reception
  • Sponsorship of beverage costs for poster session reception
  • Sponsorship of food costs for poster session reception
  • Sponsorship of all or part of beverage costs for banquet

Sponsorship of Workshop Souvenirs.4 This sponsorship funds the purchase of souvenirs for workshop participants. These souvenirs will have the BIW logo and a logo of your company. An acknowledgment of your company's sponsorship will be printed in the program booklet.

1 The 20-minute oral presentation and 10-minute Question and Answer period may be on the topic of your choice (e.g. technical oral presentation is preferred, but the BIW10 local organizing committee will not enforce a particular topic). This activity is free of charge.
2 Vendors must coordinate the food cost of the reception with the hotel and other participating vendors. The BIW10 vendor coordinator will facilitate the process.
3 As is the norm, the BIW program committee reserves the authority of discretion on all presentations and publications.
