We are writing this letter to invite you to participate in the 44th Bioassay, Analytical and Environmental Radiochemistry Conference (BAER-98) to be held in Albuquerque, NM, November 15-20, 1998. Additional information regarding the conference can be found on the conference home page at http://www.sandia.gov/RPSD/bio98.htm.

As a summary, the conference will be held during November 15-19, 1998 at the Albuquerque Marriott Hotel in the uptown business district. General arrangements have been made with Albuquerque Marriott to accommodate the conference including a block of rooms at a special rate, vendor workshop rooms, vendor exhibit area, and meeting rooms. We anticipate a large turnout due to the popularity of Albuquerque’s southwestern cultural and local attractions, and the proximity of a number of national and research laboratories.

In order to properly coordinate specific conference space requirements with the Albuquerque Marriott representatives, certain details relative to the vendor space requirements and vendor sponsored reception and lunches need to be finalized. As a refresher, last year the vendor activities included workshops by Ordella Inc., Packard Instrument, EG&G Ortec, Eichrom Industries held on Sunday; conference reception on Monday night; coffee breaks; and a luncheon sponsored by Canberra Industries and Packard Instrument on Tuesday.

Although the conference sponsor coordinates each of the vendor-sponsored functions, the financial commitments for the luncheon and coffee breaks are between the hotel and the vendor. In most cases the conference sponsor provides, as a facilitator, the central coordination and communication for the vendor activities. For the vendor workshops the vendor must assume responsibility for their own announcements and registration, and audio/visual requirements. Arrangement has been made for two rooms that can support four half-day workshops for up to 40 attendees each.

Since the number of vendors directly affects the breakout of the individual costs for certain functions, it is important that various conference commitments be addressed as soon as possible. This includes the scheduling of the number of hotel conference rooms for concurrent workshops.

The cost for the vendor fee has remained the same as last year, $750 for early registration (prior to August 1, 1998) and $1,000 for late registration (after August 1, 1998). This registration includes two prepaid conference registrations for the vendor. Vendors may set up their displays on Monday morning, November 16, and exhibit their materials starting at noon on Monday and throughout the day on Tuesday and Wednesday. As an incentive for early registration the names and addresses of early vendor registrants will be published on the conference home page as soon after their registration and payment are received. The home page is the main conduit of communication with the potential conference attendees.

The attached form has been developed to facilitate the communications process for conference details pertaining to the vendors. Also included is a map of the hotel exhibit lobby and booth layout. Please take some time to complete the form and return it to my office as soon as possible.
